Privacy should be built into the process.

This Version 1.0 policy is written for the current static website. It should be reviewed and updated before the secure application and donation systems are activated.

Website Privacy Policy

1. Information collected by the current website

The current Version 1.0 website is primarily informational. Preview forms are not connected to a production database or document-storage system and should not be used to submit sensitive personal, medical, or financial information.

2. Future assistance applications

When the secure financial assistance application becomes available, the Foundation expects to collect information reasonably necessary to determine eligibility and administer charitable assistance. This may include contact information, limited documentation concerning a qualifying procedure, household financial information, information about requested expenses, and supporting documents.

3. Sensitive information

The Foundation intends to limit access to sensitive applicant information to individuals who reasonably require it for Foundation responsibilities. Applicants should not send medical records, financial documents, or other sensitive information through ordinary email unless specifically instructed through an approved secure process.

4. Donations

Online donations will be handled through a secure third-party payment processor. The Foundation website will not be designed to store full payment-card numbers.

5. Service providers

The Foundation may use service providers for website hosting, secure forms, document storage, payment processing, email, analytics, and other operational functions. The final policy will identify relevant services and describe how information is handled before those services are activated.

6. Cookies and analytics

The current site does not intentionally deploy advertising trackers. If analytics are added, this policy will be updated to describe the technology used and the information collected.

7. Data retention and security

The Foundation intends to retain records for legitimate charitable, operational, legal, and regulatory purposes and to use reasonable safeguards appropriate to the sensitivity of the information.

8. Public stories and publicity

The Foundation will not publicly identify an assistance recipient or share a recipient’s medical story for fundraising, publicity, marketing, or promotional purposes without appropriate permission.

Before launch of applications or donations: this policy should be updated to name the actual form provider, Google Workspace/Drive configuration, donation processor, analytics tools, retention practices, and any other services that process personal information.
